About the role

Key responsibilities & impact
  • End-to-end ownership of the CEO's calendar across multiple time zones, with a proactive approach to sequencing and prioritization
  • Managing communications, follow-ups, and coordination with discretion and sound judgement
  • Anticipating issues before they escalate and solving problems without being asked
  • Build and maintain a forward travel calendar across the year — planned well in advance and tied to business objectives
  • For each trip, develop a prioritized meeting schedule: who we should be seeing, why, and what we want from each conversation
  • Own outreach to those contacts — drafting communications, following up, and ensuring the CEO arrives in every city with a full and purposeful agenda
  • Work closely with the GTM team to align travel with pipeline, customer relationships, and market priorities
  • Maintain a clear picture of our network and help identify the right moments to activate it
  • Prepare concise, high-quality briefings before every significant meeting: background, context, objectives
  • Pull from internal updates, prior interactions, and external sources to ensure the CEO is always well-prepared
  • Act as a primary point of contact with senior executives, customers, investors, and partners
  • Liaise confidently with external stakeholders, representing the CEO with professionalism and discretion
  • Support relationship-building moments, events, and high-stakes engagements
  • Handle expenses, receipts, and administrative tasks without needing to be chased
  • Look for smarter ways to work, not just harder ones

Requirements

What you’ll need
  • Significant experience supporting a CEO or C-suite executive, ideally in a high-growth or venture-backed environment
  • A track record of managing complex travel and external stakeholder relationships
  • Experience with outreach — comfortable drafting communications on behalf of a senior leader and owning the follow-through
  • Exceptional written and verbal communication skills, and the confidence to engage directly with senior external contacts in person, by phone and email
  • Exceptional organisational ability and meticulous attention to detail
