About the role

Key responsibilities & impact
  • Provide executive-level programmatic, operational, and administrative support to ASAPconnect leadership
  • Coordinate project and field activities, office services, operations, and procedures
  • Maintain project records and documents
  • Make independent day-to-day operational decisions
  • Complete project management responsibilities in partnership with the Manager
  • Coordinate team activities, meeting schedules, logistics, and meeting notes
  • Support in-person and virtual employee and partner meetings
  • Facilitate portions of virtual meetings when appropriate
  • Coordinate annual calendars, meeting materials, and team communications
  • Support communications strategy implementation, including documents, publications, website development and design, and social media
  • Edit and proofread written materials
  • Plan and coordinate field activities, meetings, events, learning sessions, presentations, conferences, and site visits
  • Secure venues, prepare materials, coordinate speakers, arrange on-site staff coverage, make travel arrangements, and ensure documentation and follow-up
  • Attend conferences and events throughout California to disseminate information and materials
  • Support and occasionally deliver conference workshop presentations

Requirements

What you’ll need
  • Minimum of two years of relevant experience with office management, project management, coordination, customer service, or related responsibilities
  • Some experience providing executive-level support
  • Familiarity with or experience working in afterschool programming, and/or related education and/or youth development fields
  • Strong attention to detail
  • Solid organizational abilities including planning, project management, and task facilitation
  • Experience with Microsoft Office programs including Outlook, Word, Excel, and PowerPoint
  • Experience with Google Documents, Spreadsheets, and Presentations
  • Must reside in California
  • Southern California preferred
  • Approximately 20–25% travel required
