About the role
Key responsibilities & impact- Own and manage complex, high-volume calendars for five executives
- Resolve calendar conflicts and make real-time priority judgments
- Proactively schedule and reschedule meetings around shifting business priorities
- Block focus time and protect executives' calendars from over-scheduling
- Anticipate recurring scheduling needs for MFRs, board meetings, QBRs, and client engagements
- Monitor and triage executive inboxes
- Draft routine email responses on executives' behalf
- Track folders, flags, and tasks to ensure time-sensitive items are not missed
- Follow up on outstanding email threads
- Process expense reports and manage executive-operation budgets
- Maintain filing systems for Board and executive documentation
- Support executive special projects
- Prepare daily/weekly summaries of calendar and inbox priorities
- Coordinate domestic and international travel logistics
- Prepare meeting materials and calendar invites
- Manage incoming meeting requests and inbox volume as a gatekeeper
Requirements
What you’ll need- 5+ years supporting senior executives, emphasizing calendar and inbox management across multiple executives
- Advanced proficiency in Outlook/Microsoft 365, including calendar tools, rules, delegate access, and focus-time features
- Excellent prioritization judgment to distinguish urgent from important without hand-holding
- Strong written communication skills for drafting emails in an executive’s voice
- High discretion with confidential and sensitive information
- Comfort managing ambiguity and shifting priorities across four distinct working styles
- Experience in government contracting, consulting, or professional services
- Hands-on experience with SharePoint, Teams, and other Microsoft 365 collaboration tools
- Must be legally authorized to work in the United States without sponsorship
- Must be local to the Lansdowne, VA area with a realistic commute to the office
