About the role
- City-wide administrative projects including documentation and digitalization, as well as training employees on these projects in German and English.
- Conducting procurement and tendering procedures for centrally required services.
- Representing the administrative management in internal and cross-institute committees.
- Co-supervision of trainees in office management.
- Advising staff in the scientific departments on procurement procedures: conducting market research and supporting the preparation of specifications and award criteria.
- Coordination with the central administration of the Forschungsverbund Berlin (Research Association Berlin) on procurement matters.
- Designing and delivering training sessions and information events on purchasing/procurement.
- Reviewing and approving electronic purchase orders.
- Verifying order confirmations and issuing purchase orders up to €10,000.
- Invoice checking, resolving discrepancies and maintaining the electronic invoice ledger.
- Inspecting and posting goods receipts.
- Handling import, customs, recourse and warranty cases.
- Managing fixed assets, including depreciation and disposals.
Requirements
- Successfully completed university degree in a business or legal field, or completed vocational training with equivalent skills and knowledge acquired through professional experience.
- At least two years of professional experience at universities or public research institutions.
- Strong ability to quickly and independently familiarize yourself with new and diverse topics.
- Ability to work independently and take responsibility, as well as to work effectively within a team.
- Excellent communication and presentation skills.
- Familiarity with working practices in the natural and life sciences.
- Experience in planning and implementing larger projects.
- Extensive knowledge and experience in public procurement law: VOL A/B, UVgO, and European procurement law.
- Experience in carrying out purchasing/procurement processes.
- Knowledge and experience in grant and budgetary law.
- High level of motivation and resilience.
- Excellent spoken and written German and English.
- Proficient user of common MS Office programs.
- Strong affinity for IT.
- Completion of an instructor qualification according to AEVO is an advantage.
