About the role
Key responsibilities & impact- Facilitate weekly onboarding sessions, including utilizing our onboarding tool, Enboarder, coordinating all logistics, materials, and being a welcoming presence on Day 1
- Plan and execute recurring onsite programs: Town Hall, lunches, weekly site meetings, and monthly low-lift culture moments (e.g., seasonal celebrations, recognition days, surprise & delight touchpoints)
- Support onsite visit logistics for guests, executive visitors, and cross-site team meetings
- Support onsite Culture Committee and Employee Resource Groups — serve as a People Team liaison, helping the groups plan and execute programming
- Support company-wide recognition efforts — help onsite managers find the right words and vehicles to recognize teams and individuals
- Merch & swag inventory management — tracking stock, reordering, and coordinating distribution for the MA site
- Support onsite employees with HR questions and concerns, partnering with the MA People Partner team as needed
- Support weekly Monday standup content curation and slide production — sourcing updates, assembling the deck, and ensuring accuracy before each meeting
- Assist the Associate Manager, Employee Comms & Engagement with updates to internal platforms and content production for newsletters, announcements, and employee-facing communications as needed
- Partner with cross-functional teams to continuously improve onsite employee experience
Requirements
What you’ll need- 2-4 years of experience in employee experience, HR coordination, event planning, office management, or closely related role
- Demonstrated ability to coordinate logistics for multiple programs simultaneously
- Warm, people-first presence — you're genuinely energized by making people feel welcome and celebrated
- Strong written communication skills; comfortable drafting employee-facing content with attention to tone and audience
- Comfort with ambiguity and a proactive instinct — when you see a gap, you fill it
- Quick to learn new tools; experience with HR or workplace platforms (Enboarder, Slack, Oracle, ADP, Google Workspace) is a plus
- Flexible to be on-site 3-4 days per week, with occasional presence for early or evening events
