About the role
Key responsibilities & impact- Provide day-to-day administrative support to the Facility Management Team
- Maintain facility records, filing systems, inventories, and documentation
- Support office moves, workstation setups, and workspace adjustments
- Monitor office, kitchen, and facility supplies and coordinate replenishment
- Organize internal meetings, workshops, and events, coordinate bookings, setups, and hospitality arrangements
- Prepare workstations and office equipment for new employees
- Support administrative HSE activities and workplace safety initiatives
- Support Facility-related Source-to-Pay processes including purchase requests, orders, and invoice coordination
- Support data analysis, KPI reporting, and management report preparation
- Support development of Workplace and Facility Management concepts, standards, and improvement initiatives
Requirements
What you’ll need- Enrolled at a university in Germany for at least one year in applied sciences (Business Administration, Hospitality Management, Facility Management, Human Resources, Event Management, or a related field)
- Willingness to learn facility management processes and workplace operations
- Previous administrative or customer service experience is an advantage but not required
- Strong organizational skills, structured working style, ability to manage multiple tasks simultaneously
- Good understanding of data handling and basic data analysis, confidentiality when handling sensitive information
- Fluency in English with strong written and verbal communication skills
- Good command of MS Office, especially MS Excel and Outlook
