About the role
- Serve as a central point of contact for internal and external enquiries
- Play a key role for the coordination between Unit programmes
- Support programme planning, documentation, and tracking of key initiatives
- Maintain and optimize tools for planning, documentation, and tracking of key initiatives
- Provide coordination and executive support to the Senior Director Markets
- Manage complex calendars, meetings, travel arrangements, and expense claims
- Prepare documentation, presentations, and briefing materials
- Act as an internal consultant to help colleagues within the Unit comply with financial, procurement and legal procedures
- Support budget tracking and maintain up-to-date financial records
- Liaise with Finance and programme managers as required
- Coordinate logistics for meetings, workshops, and events
Requirements
- Relevant professional office management training or a bachelor’s degree
- At least two years of experience in coordination of various teams, executive support, or administrative roles
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Confidence handling financial tracking and documentation
- Fluency in English; basic German required
- Spanish is a plus
- Strong MS Office skills; experience with database platforms is an advantage
- A proactive, reliable, and solution-oriented mindset
