About the role
Key responsibilities & impact- Provide operational and administrative support, handling recurring tasks and one-off requests
- Support HR logistics, insurance renewals, payroll, charitable registrations, compliance requirements, and office/visibility materials
- Serve as the primary point of contact for incoming organization-wide requests and direct them to the appropriate person or team
- Provide project coordination and event planning support for internal, external, donor, and blue- and grey-sky activation events
- Support event logistics, travel, vendor coordination, RSVPs, and visibility materials
- Coordinate for the Chief of Staff, CEO, and Fractional COO, anticipating needs and handling administrative/operational requests
- Triage emails and inboxes, flag priorities, draft routine responses, and ensure time-sensitive matters are addressed
- Schedule and confirm meetings across time zones, resolve conflicts, and protect time for priority work
- Take notes, capture action items, and track follow-ups to completion
- Support Board and Committee activities by scheduling meetings, sending invites, managing calendars, and assembling/distributing board packets
Requirements
What you’ll need- Strong attention to detail and follow-through
- Comfortable pivoting and managing competing, changing priorities
- At least 1 year of experience in a comparable executive support, administrative, or coordinator role
- Proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
- Strong scheduling and calendar management skills
- Excellent written and verbal communication
- Proactive, organized, adaptable, and dependable
- Associate's or Bachelor's degree preferred; comparable experience in a similar role can substitute for a degree
- Nonprofit experience preferred
- Board or governance exposure preferred
- Event planning experience preferred
- Salesforce or other CRM software proficiency preferred
- Experience supporting multiple executives at once preferred
- Interest in or connection to climate, disaster response, or clean energy preferred
- Ability to work independently and remotely without needing handholding
