About the role

Key responsibilities & impact
  • Works under the supervision of and assists the Facility Manager in the operation and maintenance of commercial office Facilities.
  • Acts as liaison between Facilities occupants/tenants and Facility Manager for work requests.
  • Reviews tenant/occupant requests and generates work orders for completion.
  • Monitors and maintains physical management of structures, equipment, and outdoor areas.
  • Writes work orders for Maintenance Mechanics based on information from Facilities Manager.
  • Drafts memos and/or makes calls related to Facilities issues and maintenance scheduling.
  • Schedules and participates in 24-hr emergency coverage in the Facilities.
  • Assists in the establishment and implementation of a workplace safety program.
  • Assists in the preparation of a schedule for preventative maintenance and repairs.
  • Keeps abreast of changes to internal occupant space assignments and updates records.
  • Meets regularly with the Facility Manager to review procedures and discuss problems.
  • Assists with administering suite occupancy and providing introductory letters.
  • Assists with “move in/out” projects as required.
  • Assists with bidding and implementation of tenant improvement projects.
  • Performs inspections of snow removal, landscaping, and maintenance on the grounds.

Requirements

What you’ll need
  • High School / High School Equivalency (GED, HiSET, TASC) / Foreign Equivalent
  • 4+ Years in Facilities or real estate operations
  • Experience in administrative office practices and procedures
  • Experience in coordinating and scheduling required
  • Knowledge of safety procedures as related to Facilities management functions
  • Knowledge of Facilities structures and general facilities maintenance
  • Strong verbal, written and interpersonal communication skills
  • PC literate with proficiency in Microsoft Office, Word, Excel, Outlook
  • Exceptional organizational, prioritization and follow-up skills
  • Excellent research and analysis skills
  • Knowledge of basic office practices and procedures
  • Detail oriented.
  • Strong customer service skills.
