About the role

Key responsibilities & impact
  • Oversee the entire project lifecycle, ensuring all milestones are met on time and within budget.
  • Serve as the primary point of contact between the company and external partners, facilitating clear and consistent communication.
  • Provide regular updates on project progress, risks, and delays.
  • Attend project meetings, take notes, and follow up on action items.
  • Ensure all creative work aligns with company branding guidelines and marketing objectives.
  • Review all creative content (video, graphics, scripts) before submission for approval, ensuring quality standards are met.
  • Incorporate feedback from company into revisions, ensuring deliverables meet client expectations.
  • Handle scheduling, logistics, and coordination of all video shoots, including booking venues, arranging talent, and securing permits.
  • Work closely with creative team members and production crew to achieve project goals and meet deadlines.
  • Assist in managing the project budget, ensuring costs remain within agreed limits.
  • Provide regular financial updates to the company.
  • Conduct research on industry trends, competitor strategies, and consumer demographics to inform video content.
  • Draft, revise, and finalize scripts and social media captions in alignment with client messaging.
  • Participate in brainstorming sessions to develop creative concepts, storyboards, and visual content.
  • Plan pre-production activities, including storyboarding, shot planning, and logistics.
  • Support video shoots by setting up gear, operating cameras, capturing sound, and assisting with shot configurations.
  • Liaise with external editors for post-production as needed and manage edit reviews and feedback.
  • Assist with graphic design tasks, including creation and modification of digital and print materials.
  • Adapt artwork for various mediums and layouts.
  • Maintain an organized digital graphics library.
  • Maintain an organized collection of all project files, including raw footage, edited content, scripts, and feedback notes.
  • Lead the creation of instructional and help center videos, including script/storyboard review, asset management, and coordination with subject matter experts.
  • Ensure consistency in style, music, and branding across instructional content.
  • Manage requests for AI-generated voiceovers, including processing form submissions, coordinating with external vendors, and ensuring timely delivery for rushed projects.
  • Liaise with clients and internal teams to match voice talent and scripts to project requirements.
  • Support the production and planning of podcasts and webinars, including technical setup, rehearsal scheduling, and equipment management.
  • Collaborate with experiential marketers and other stakeholders to ensure smooth execution and post-event reporting.
  • Maintain and improve media management processes, including folder structure, labeling, and file organization in platforms like Frame.io.
  • Oversee quality control procedures for video projects and ensure proper archiving and sharing of assets.
  • Schedule and coordinate studio sessions for pre-event and initiative videos, ensuring all participants are properly briefed and calendar invites are managed.
  • Troubleshoot scheduling conflicts and communicate promptly with stakeholders to resolve issues.
  • Proactively secure production crews and resources for shoots, especially when last-minute needs arise.
  • Implement process improvements to streamline crew booking and communication.
  • Ensure all project communications follow best practices (e.g., “reply all” for email threads, proper inclusion of stakeholders).
  • Support compliance activities, such as updating emergency contacts in Workday and adhering to privacy policies.
  • Attend and contribute to strategic meetings, including succession planning sessions, and assist with recording, reporting, and follow-up actions.
  • Coordinate audio recording sessions, including studio reservations, logistics, and technical support for marketing and fund-related videos.
  • Serve as a liaison between marketing, production, and technical teams to ensure smooth execution.

Requirements

What you’ll need
  • 3–7 years of proven experience in audiovisual, creative, or video project management (agency, brand, or production environment).
  • Advanced proficiency in project management tools—especially Smartsheet (mandatory), Power BI, and Microsoft Teams.
  • Strong knowledge of the video production process (pre-production, post-production, asset management, delivery).
  • Demonstrated ability to manage multiple projects and priorities in a fast-paced remote team.
  • Excellent communication, negotiation, and organizational skills with attention to detail.
  • Experience collaborating with video editors, producers, and creatives—understanding production timelines and technical constraints.
  • Familiarity with digital asset management systems (Bynder preferred) and remote content workflows (Frame.io, Egnyte, Vidyard).
  • Fully Proficient English—confident in client-facing calls, presentations, and documentation.
  • Bachelor’s degree in Communications, Marketing, Film/Media, Business Administration, or related field.
  • Experience working remotely with U.S.-based teams is highly desirable
  • Proven experience in video production, creative project management, and marketing.
  • Strong communication and organizational skills.
  • Ability to work collaboratively and manage multiple projects simultaneously.
  • Proficiency in video editing, graphic design, and production logistics.
  • Familiarity with industry trends and marketing best practices.
