About the role

Key responsibilities & impact
  • Provide day-to-day administrative support for Tomorrow’s Leaders Recruitment and the recruitment/application process
  • Coordinate procurement and track expenses
  • Use databases to track and sort applicants and produce reports
  • Maintain project data and files using tracking tools and documentation protocols, including PII protection
  • Support standardized testing logistics, per diem issuance, travel, hotels, transportation, and visa arrangements
  • Produce project materials, pre-departure orientation training materials, and administrative documents
  • Assist with virtual program logistics
  • Manage calendars, scheduling, expenses, meetings, notes, memos, project files, and filing systems
  • Plan project meetings, including rooms, catering, and materials
  • Support events, conferences, and workshops, including invitations and procurement
  • Manage electronic files, document-sharing sites, storage, and archiving
  • Support communications, stakeholder folders, materials inventory, and distribution lists
  • Support staff and consultant travel, expense authorizations, approvals, tickets, advances, and expense reporting
  • Collect information for reports, assist with report drafts, and track reporting deadlines
  • Assist with technical data collection, review, and basic analysis
  • Support development and dissemination of project tools, materials, reports, papers, and interventions
  • Conduct supervised searches of published literature, mobile software sites, and blogs
  • Provide technical administrative support for workplan preparation and finalization
  • Process invoices, payment packages, consultant agreement packages, reimbursements, and purchase orders
  • Read and interpret budgets and help track cost information

Requirements

What you’ll need
  • Associate degree required; bachelor's degree preferred
  • 0–2 years of relevant administrative experience supporting projects and/or a technical practice area
  • Prior experience in a non-governmental organization preferred
  • Fluency in Arabic preferred and French ability a plus
  • Fluent English required; fluent host-country language as appropriate
  • Proven organizational skills and ability to manage multiple tasks with a high degree of accuracy
  • Ability to work independently and as a team member, take initiative, meet deadlines, and be flexible
  • Strong computer skills, including databases
  • Familiarity with WordPress, Qualtrics, and FormAssembly
  • Proficiency in Microsoft Excel and database knowledge
  • Demonstrated proficiency with Microsoft Office Suite
  • Strong oral and written communication skills and professionalism in written correspondence
  • Strong interpersonal and cross-cultural competencies and interest in international education
  • Ability to problem solve and recommend corrective action
  • Ability to adhere to project deadlines and attention to detail
  • Appropriate screening checks, including reference, criminal record, and terrorism finance checks
  • Must sign FHI 360's code of conduct
  • Ability to spend long hours looking at a computer screen and performing repetitive keyboard work
  • Ability to sit and stand for extended periods
  • Ability to lift/move up to 5 lbs.
