About the role
- Perform administrative duties and provide general support to General Counsel and international legal team, including making travel arrangements, photocopying, preparing binders, filing, invoicing, and handling correspondence as requested.
- Entrusted with confidential and privileged information; must be reliable, trustworthy and discreet.
- Coordinate office needs with other company departments and external vendors; stock office supplies and maintain office equipment.
- Answer phones, direct incoming calls, open and route mail, and sign for deliveries.
- Maintain an organized filing system for company records, correspondence and contracts; update international binders and corporate records.
- Prepare and edit correspondence, communications, presentations and other documents; prioritize and manage multiple projects.
- Process expense reports; code and track invoices and check requests; assist with preparation of invoices, reports, memos, letters, financial statements.
- Receive and interact with incoming visitors; arrange food and host details for meetings as requested.
- Serve as office coordinator for Vienna office and perform other duties as assigned.
Requirements
- College degree or equivalent professional experience.
- Proficient with Microsoft software (Word, Excel, Power Point, etc.).
- Excellent writing, grammar and proofreading skills.
- Good organizational and interpersonal skills; must be well organized and dedicated to administrative challenges.
- Ability to work independently and consistently while working on various topics and projects simultaneously.
- Proven ability to work well under pressure and meet deadlines in fast-paced environment.
- Ability to interface with all staff levels within and outside of Feld Entertainment, Inc. in a professional manner.
- Must be discreet, reliable, dependable and trustworthy; entrusted with confidential and privileged information.
- Positive attitude, sense of humor and team-oriented ethic.
- Must be a notary – can be obtained post-employment.
