About the role
- Manage employee records and files, ensuring accuracy, completeness, and compliance with applicable federal and provincial labour laws
- Support new hire onboarding, including documentation preparation, orientation coordination, and scheduled manager check-ins at defined intervals (e.g., 30/60/90 days)
- Respond to employee inquiries regarding benefits, policies, and general HR matters, always maintaining confidentiality and professionalism
- Support employee engagement initiatives that enhance workplace culture
- Manage end-to-end recruitment for Head Office Operations roles across Canada and the United States, including job postings, candidate sourcing, screening, assessments, and interview coordination
- Maintain consistent communication with hiring managers and stakeholders, providing timely updates on candidate pipelines and hiring timelines
- Conduct labour market research to inform sourcing strategies and contribute to the development of compelling job postings and talent acquisition best practices
- Assist in the coordination for the annual performance review cycle, distributing materials, monitoring completion timelines, and supporting managers with documentation and guidance
- Complete Canadian payroll weekly and serve as a backup for US payroll
- Perform additional responsibilities and special projects as assigned based on evolving departmental needs
Requirements
- Minimum of 1-2 years of HR coordination experience
- Post-secondary education in Human Resources or equivalent
- Knowledge of Canadian employment legislation, including federal and provincial labour standards
- Exceptional communication skills with the ability to handle sensitive information with professionalism and empathy
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
- Proficiency in MS Office Suite and HRIS platforms; BambooHR experience is an asset
- High attention to detail with a demonstrated ability to maintain confidentiality and exercise sound judgment
- Proactive, solution-focused mindset with a commitment to continuous improvement and data-driven recruitment strategies
- Proficiency in French is a significant asset; willingness to learn this language is also valued
- Must reside and be authorized to work in Canada
