About the role

Key responsibilities & impact
  • Coordinate committee and subcommittee meetings end to end: agendas, invitations, presentations, and minutes
  • Provide administrative support across the team, including correspondence, scheduling, and data maintenance
  • Maintain accurate lists and databases, and keep committee records up to date
  • Coordinate scheduling and meetings at the European Congress of Radiology (ECR)
  • Support programmes and initiatives for early-career members and on diversity, inclusion, and sustainability, from planning through to delivery
  • Administer the Young Programme and the Green ID Certification, coordinating applications, records, and communications
  • Support the Society's presence at external congresses, including preparing materials and on-site coordination, with occasional international travel
  • Prepare presentation materials such as PowerPoint slides and factsheets, and assist with website updates

Requirements

What you’ll need
  • Completed education at high school level and/or university degree
  • Excellent command of English
  • German and other languages are an asset
  • Strong written and oral communication skills
  • Proficient in MS Office and Google Workspace, particularly MS Excel and Google Sheets
  • Experience in administration, team assistance, association/non-profit work, event or programme coordination is an asset
  • Outstanding organisational, prioritisation, and problem-solving skills, with a keen eye for detail
  • Open, positive, and collaborative, with a genuine willingness to support colleagues
  • Able to work independently while contributing to a closely interlinked team
  • High level of stress resistance and resilience
  • Willingness to travel
  • Must hold a valid work permit for Austria
  • Must be willing and able to commute to the Vienna office on a regular basis
