About the role

Key responsibilities & impact
  • Support the Chief Operating Officer, Digital, and the Digital & Innovation Office
  • Manage a complex calendar and travel schedule across multiple time zones
  • Act as a strategic gatekeeper for the COO’s time and priorities
  • Arrange business travel, detailed itineraries, country engagement plans, and expenses in Concur
  • Liaise with senior executives, customers, partners, and external stakeholders
  • Serve as a trusted liaison between the COO, direct reports, and the wider organization
  • Review, categorize, and action the COO’s inbox
  • Monitor Outlook, Teams, Viva Engage, and LinkedIn and surface critical information
  • Develop meeting materials, background research, participant profiles, briefing packs, and discussion points
  • Organize meetings, distribute actions, follow up on commitments, and prepare executive summaries from recordings and transcripts
  • Plan and organize all-hands meetings and high-profile external engagements
  • Manage venue, catering, AV/video conferencing, IT setup, security access, and Zoom webinars
  • Host all-hands and town hall meetings
  • Support strategic projects, employee engagement initiatives, and Digital & Innovation Office programs
  • Coordinate special projects and department-wide events and support slide deck creation
  • Raise purchase orders and manage approvals using Coupa
  • Facilitate invoice approvals and maintain procurement records
  • Manage delegated approvals and workflows, tracking follow-ups, signatures, and responses
  • Review and manage executive travel and expense approvals
  • Build collaborative relationships with Executive Assistants across the company and contribute to the EA network
  • Exercise judgment and discretion when acting on behalf of the COO and handling sensitive information

Requirements

What you’ll need
  • Proven years experience preferred
  • Exceptional organizational and communication skills
  • Ability to manage complex calendars and travel schedules across multiple time zones
  • Experience arranging international business travel and processing expenses in Concur
  • Ability to liaise confidently with senior executives, customers, partners, and external stakeholders
  • Experience managing executive inboxes, automation rules, and filtering
  • Experience monitoring Outlook, Teams, Viva Engage, and LinkedIn
  • Ability to prepare briefing materials, meeting packs, executive summaries, and discussion points
  • Experience organizing meetings, all-hands meetings, town halls, and external engagements
  • Experience managing venue, catering, AV/video conferencing, IT setup, security access, and Zoom webinars
  • Program management and special-project coordination skills
  • Experience creating slide decks
  • Experience raising purchase orders and managing approvals in Coupa
  • Experience managing delegated approvals, signatures, travel, and expense approvals
  • Exceptional judgment, confidentiality, and discretion
