About the role
Key responsibilities & impact- Verification and analysis of documentation
- Collect and review the documents required to finalize mortgage files.
- Validate information related to income, down payment and borrower identity.
- Conduct client interviews when necessary.
- Ensure compliance with anti-money laundering (AML) and anti-terrorist financing (ATF) requirements.
- Identify and manage situations that may raise concerns about fraud or misrepresentation.
- Verify that all files comply with lending policies, legal requirements and the Bank's internal procedures.
- Ensure that all conditions required for funding have been satisfied before file closing.
- Collaborate with relevant teams to quickly resolve any anomalies or situations requiring additional validation.
- Maintain rigorous follow-up on all files under your responsibility.
- Use tracking tools and reports to meet processing timelines and scheduled funding dates.
- Prioritize files effectively to ensure smooth operations.
- Communicate regularly with mortgage brokers, clients and internal teams.
- Respond to inquiries and provide an excellent level of service.
- Contribute to the efficiency of the funding process by maintaining proactive communication with all stakeholders.
- Make required updates to files when changes occur.
- Notify affected stakeholders of any modifications made.
- Follow up on requests from the Compliance and Quality Control teams within appropriate timeframes.
Requirements
What you’ll need- Post-secondary diploma, preferably in a field related to finance, administration or business
- Minimum of 1 to 2 years of experience in the mortgage industry, preferably in the alternative mortgage market
- Bilingual (French and English) required
- Excellent ability to manage multiple priorities simultaneously
- Strong attention to detail
- Good understanding of AML, ATF and FINTRAC requirements
- Strong organizational and time-management skills
- Excellent analytical and problem-solving abilities
- Ability to make decisions in a dynamic, high-pressure environment
- Demonstrated ability to handle a high volume of files
- Excellent written and verbal communication skills
- Strong client focus
- Proficiency in Microsoft Office (Word and Excel)
- Knowledge of mortgage funding processes and quality control
- Ability to analyze documentation related to down payments and income verification
- Awareness of fraud risks and ability to recognize potentially problematic situations
