About the role

Key responsibilities & impact
  • Provide day-to-day operational support to project teams on $5M–$10M projects with 50–150 onsite employees
  • Ensure accurate weekly employee time tracking, resolve timesheet discrepancies, and submit timesheets to Payroll
  • Maintain and procure office supplies with Management approval
  • Assist with new hire onboarding and IT hardware and permissions requests
  • Maintain electronic project files
  • Assist with invoice coding and approvals
  • Request and track subcontracts, change orders, purchase orders, and subcontractor insurance certificates
  • Prepare and submit client billings and lien releases
  • Gather and submit client-specific contractual requirements and jobsite documentation
  • Assist with permits and inspection scheduling
  • Support development of project documentation, including daily reports, four-week look-aheads, and labor forecasts
  • Compile submittal and O&M/start-up books upon Project Manager request
  • Review and distribute documents and correspondence to field personnel and other key parties
  • Communicate relevant project information to the project team
  • Reconcile tool and rental equipment lists when applicable
  • Manage the parking pass process when applicable
  • Perform other duties as assigned

Requirements

What you’ll need
  • High School diploma or GED equivalent
  • 2+ years of Project Administration experience for an architectural, engineering, or construction company
  • College-level coursework and/or two years’ experience in construction management
  • Typing speed of at least 50 words per minute
  • Working knowledge of the construction industry
  • Proficiency with Microsoft Word, Excel, and Outlook
  • Effective verbal and written communication skills
  • Detail-oriented and willing to handle multiple ongoing projects in a fast-paced environment
  • Knowledge of the industry and the Company’s competitors
  • Ability to multitask and perform duties outside the scope of work when necessary
  • Preferred: Construction Document Technologist (CDT), Certified Construction Specifier (CCS), or Certified Construction Contract Administrator (CCCA)
  • Preferred: Construction billing experience, including AIA billing/Textura
  • Preferred: Experience with Oracle/JD Edwards
  • Preferred: Experience with Procure and/or Tri Build
  • Ability to work in a setting involving prolonged sitting and computer use
  • Ability to perform repetitive wrist, hand, and finger motions
  • Ability to perform light work involving objects up to 20 pounds
