About the role
Key responsibilities & impact- Anticipate and initiate appropriate actions to conserve the various Directors time, e.g., manage their schedule, manage access.
- Responsible for general administrative assistant support for up to 50+ employees including extensive travel arrangements and expense reports.
- Plan, organize and schedule meetings for the Directors and their direct reports.
- New hire and contractor on-boarding, off-boarding, access management and facilities management requests.
- Process/On-Board invoices and purchase orders.
- Assist with event planning and logistics.
- Assist with the preparation, maintenance, and circulation of numerous external and internal documents.
- Organize and maintain team specific documentation processes through data input, verification and filing in hard copy and electronic team and central databases.
- Draft complex correspondence, presentations, spreadsheets, etc.
- Lead or participate on cross business unit administrative committees or task forces.
Requirements
What you’ll need- Minimum of 3 years office reception and/or administrative experience.
- Ability to work well under pressure and prioritize workload given number of responsibilities and conflicting / ad hoc demands from a large number of professional staff.
- Proven team player, with the ability to develop and maintain collaborative working relationships, while demonstrating a high level of cooperation and mutual respect.
- Good communication skills, both oral and written, and interpersonal skills.
- Ability to demonstrate tact and influence behaviour.
- Excellent accuracy and attention to detail.
- Courteous phone etiquette and strong interpersonal skills.
- Able to work independently on a variety of tasks.
- Strong computer skills, especially Microsoft Word, Excel and Outlook.
- Demonstrated excellent customer service focus, multi-tasking and strong organizational skills.
- Workday experience is preferred however not required.
- Proactive – Adaptable to change.
