About the role
- Perform all tasks related to processing special handling invoices for large, complex commercial customers
- Maintain third-party billing portals
- Communication with cross-functional internal teams related to customer account status will be required
- Communication with various large commercial customers regarding account status
- Maintain strong customer relationships through effective communication
- Perform and maintain account billing reconciliations for customers
- Investigate and resolve any irregularities or inquiries timely and accurately
- Provide documentation to customers or cross-functional teams requesting invoices, statements, etc.
- Maintain sensitive customer financial information and organized financial records, electronically
- Recommend improvements for invoicing processes
- Research and resolve second and third-level customer inquiries
- Develop key relationships with cross-functional teams to mitigate invoicing errors
- Prepare accurate and timely invoices for all clients, ensuring that billing schedules and deadlines are consistently met
- Update fee schedules as needed via billing revision tickets with special attention to asset exclusions, fixed fees, or tiered fee schedules
- Prepare and amend invoices as needed by using billing software
- Prepare credit memos in NetSuite as needed
- Serve as the secondary point of contact for all client billing-related inquiries and internal Advisor and Wealth Managers billing-related inquiries
- Investigate and resolve billing discrepancies and disputes, working closely with the Private Client Services (PCS) Team to ensure client satisfaction and retention
- Process adjustments or corrections to client accounts as necessary
- Under direction of Vice President, Finance & Accounting, monitor outstanding balances and perform regular follow-up on aged accounts, including sending reminders and communicating with clients to negotiate payment arrangements
- Record and reconcile client payments and maintain comprehensive and up-to-date billing records through daily cash reconciliation
- Adhere to all internal policies, regulatory guidelines, and industry standards within the billing process
- Assist in the preparation of reports and analytics related to billing and accounts receivable for internal stakeholders
- Recommend process improvements to enhance billing accuracy and efficiency
- Work closely with other departments, particularly the Private Client Services (PCS) Team and Compliance Teams, to ensure billing accuracy and compliance with all contractual obligations
- Assist with internal and external audits related to billing by being a keeper of master documentation
Requirements
- Minimum 1-year experience in an offer environment performing data entry or other computer-based work required; prior experience with accounts payable/receivable or transaction-based services preferred
- Experience with third-party portal billing preferred
- Proficient Excel/Google Sheets experience
- Good judgment, strong decision-making, and problem-solving skills
- Knowledge of transaction-based services
- Communicate articulately and efficiently in both written and verbal forms
- Highly organized with strong attention to detail
- Accounting knowledge
- Strong communication and interpersonal skills
- Strong attention to detail and high level of accuracy
- Ability to maintain a high level of confidentiality and professionalism
- Excellent organizational skills
- Be able to work as a team and independently
- Must be willing to work in shifting schedules including a graveyard shift
- Bachelor's degree in Finance, Accounting, or related field
- 2+ years of experience in billing, accounts receivable, or in a similar role within the financial services industry. Experience in wealth management is a plus
- Strong understanding of billing and financial concepts
- High proficiency in MS Office (particularly Excel) and billing software
- Exceptional attention to detail and accuracy
- Excellent communication and negotiation skills, with a customer service-oriented approach
- Ability to manage sensitive financial information with integrity and confidentiality
- Proven ability to work under pressure and adhere to tight deadlines
- Must be willing to work night shift schedules (US hours) and during PH Holidays.
- Must be able to work at Alabang, Muntinlupa when work in the office resumes (temp WFH).
