About the role
- Manage and prioritize the CECO’s calendar and the Vice President, Associate General Counsel – Litigation and Employment’s calendar, including scheduling meetings across time zones, coordinating effectively with internal and external stakeholders, and ensuring alignment with strategic priorities.
- Coordinate the booking of travel domestically and internationally, manage travel itineraries, and provide executive support for any issues and changes needed during travel.
- Prepare briefing materials, agendas, and follow up documentation for RC&E Program meetings, executive meetings, CECO external engagements, group meetings, and 1:1s.
- Support the CECO in budget and forecast management.
- Handle confidential communications, documents, and sensitive information with discretion and professionalism.
- Support Litigation & Employment Team (LET) in various LET projects and initiatives, including, but not limited to, sending Records Hold Notices, where necessary, and maintaining/creating LET records in legal team document management system (Lawvu).
- Assist in the preparation and tracking of legal, regulatory, and compliance documents, and filings.
- Support 5Rs review coordination, reporting, and communications processes as an extended member of the RCE Program, Analytics & Monitoring Team.
- Provide extended administrative support to other Legal team members including document management, meeting logistics, and coordination of recurring team meetings.
- Support the onboarding and coordination of external counsel and other third parties, including 5Rs submissions, engagement, purchase orders, billing and invoice management, contract extensions and compliance documentation.
- Process expense reports.
- Support onboarding of new team members.
- Organize and support coordination of RCE team meetings, including preparation of agendas and follow up actions and tracking tasks to completion.
- Plan and execute team events, offsites, workshops, and training sessions across sites and markets.
- Coordinate and manage complex travel arrangements for leaders, including domestic and international flights, hotel accommodations, ground transportation, and itineraries.
- Ensure all travel plans align with company policies and preferences, proactively resolve any travel-related issues, and provide detailed travel briefs and documentation prior to departure.
- Support RC&E Program awareness, communications, and training initiatives in partnership with Corporate Communications team.
- In partnership with the head of RCE Program, Analytics & Monitoring, serve as the liaison between the CECO and internal teams, ensuring timely follow up and alignment on priorities.
- Draft and manage RCE internal communications, including email correspondence and executive summaries.
- Coordinate with RC&E Program stakeholders and other Legal stakeholders to support global and cross-regional initiatives and to ensure consistent messaging.
Requirements
- Bachelor's degree required with 5-7 years of relevant experience
- 5+years of professional experience as an executive assistant or project coordinator/manager, in administrative, legal, compliance, procurement, or a related field.
- High standard of excellence, accuracy and consistency, personal integrity, and accountability.
- Exceptional organizational and time management skills.
- Able to collaborate, communicate, and engage effectively and continuously with a broad range of internal and external stakeholders.
- Advanced written and interpersonal communication skills.
- Proficiency in Microsoft Office Suite skills and document management systems.
- Comfortable with technology, especially emerging technologies and preferably task automation and/or generative AI tools
- Able to manage several concurrent projects, multitask, and work well under pressure.
- High level of integrity and ability to handle confidential information.
- Familiarity with compliance, regulatory, and legal terminology and processes is a plus.
