About the role

Key responsibilities & impact
  • Greet and check in patients, conduct check-out and appointment scheduling, and perform regular lobby checks
  • Coordinate provider schedules to optimize appointment availability and resource capacity
  • Update patient demographics, verify insurance details, generate forms, respond to emails, and document emergency contacts using EPIC and other systems
  • Collect copayments and service fees, issue receipts, and reconcile daily financial transactions
  • Answer a multi-line phone system, take messages, route inquiries, and make outbound appointment calls
  • Communicate information about Duly clinical personnel to patients and others
  • Schedule follow-up and in-house specialist referral appointments
  • Participate in daily and weekly team huddles
  • Review performance dashboards, identify gaps, escalate issues, suggest improvements, and adjust workflows
  • Maintain patient confidentiality and comply with HIPAA standards
  • Monitor patient wait times and communicate delays
  • Perform additional duties and special projects as assigned

Requirements

What you’ll need
  • High School diploma or equivalent required
  • Minimum 1 year of experience in a medical office or clinical setting preferred
  • Prior experience in a receptionist or front desk role strongly preferred
  • Exceptional customer service skills
  • Outstanding verbal and written communication skills
  • Proficiency in EPIC or similar EMR systems
  • Knowledge of medical office procedures and insurance verification
  • Skilled in operating phones, personal computers, software, and basic IT systems
  • Proficient in Microsoft Office Suite, including Excel, Word, and Outlook
  • Detail-oriented with excellent organizational and time management skills
  • Ability to handle sensitive information with discretion
  • Positive, professional, collaborative, and adaptable attitude
  • Ability to sit, stand, walk, bend, and stretch for extended periods
  • Vision must be correctable to 20/20
  • Normal hearing required for phone communication
