About the role

Key responsibilities & impact
  • Provide high-level executive administrative support to the Chief Nursing Officer, Director of Advanced Practice, and Associate Directors
  • Manage complex executive calendars, appointments, travel, and meeting logistics
  • Coordinate multiple high-priority calendars with executive support staff
  • Develop executive-level presentations, reports, dashboards, spreadsheets, and other decision-support materials
  • Create and maintain complex databases and ensure data accuracy and integrity
  • Analyze data from multiple sources, identify trends, and prepare concise summaries and actionable reports
  • Compose, edit, and proofread executive correspondence and professional communications
  • Serve as a liaison between executive leadership and internal and external stakeholders
  • Prepare agendas, capture meeting minutes, and follow up on action items for governance and advisory council meetings
  • Plan, coordinate, and execute the Advanced Practice Provider Lecture Series
  • Respond to complex inquiries from staff and visitors and escalate issues when necessary
  • Analyze administrative processes and recommend efficiency improvements
  • Coordinate conferences, executive meetings, and special events
  • Assist with budget preparation, financial reconciliation, and expense monitoring
  • Interpret organizational policies and departmental procedures and provide guidance
  • Lead and complete special projects while managing deadlines and communicating progress
  • Create and update organizational charts and reporting structures
  • Manage quality initiatives in conjunction with leaders as needed by DCI initiative
  • Design, administer, analyze, and report findings from Qualtrics or other survey engines
  • Provide leadership, guidance, and mentorship to administrative staff
  • Assist with recruiting, onboarding, training, and mentoring new administrative team members
  • Perform other duties as assigned in support of departmental operations and strategic initiatives

Requirements

What you’ll need
  • High school education or equivalent with five years of administrative support experience of increasing variety, complexity, and demonstrated work leadership
  • Alternatively, two years of postsecondary education with three years of experience
  • Equivalent combination of relevant education and/or experience accepted
  • Advanced proficiency in Microsoft Office Suite, particularly Microsoft Excel, including formulas, pivot tables, charts, and data analysis
  • Proficiency with Microsoft Teams and Zoom for collaboration, virtual meeting management, file sharing, communication, and presentation support
  • Ability to anticipate leadership needs and proactively address issues
  • Ownership and accountability for assignments from start to finish
  • Critical thinking, information analysis, and practical solution recommendation
  • Ability to prioritize competing demands with minimal supervision while maintaining accuracy and professionalism
  • Ability to build collaborative relationships and communicate effectively at all organizational levels
  • Ability to adapt quickly to changing priorities while maintaining customer service and attention to detail
  • Ability to maintain strict confidentiality
