About the role
- Answer incoming calls promptly and professionally following firm greeting standards
- Screen and route calls to the appropriate attorney or staff
- Conduct basic client intake by collecting caller information, case type, and urgency
- Schedule consultations and appointments using the firm's calendar system
- Manage voicemail messages and follow up as needed
- Provide general information about the firm's services without offering legal advice
- Maintain accurate call logs and client notes in the firm's CRM or case management system
- Handle high call volumes while maintaining a calm and courteous demeanor
- Maintain strict confidentiality and comply with all privacy requirements
Requirements
- English proficiency at C1 level
- Minimum 1 year experience as an Intake Specialist or similar legal role
- Proficient with computers, VoIP phone systems, and scheduling software
- Experience with CRM or legal case management software (e.g., Clio, MyCase, Filevine)
- Strong communication and interpersonal skills
- Ability to handle sensitive and confidential information with discretion
- Strong organizational and time-management skills
- High emotional intelligence and empathy
