About the role

Key responsibilities & impact
  • Develop working knowledge of export compliance regulations and company classification processes
  • Research and assign export classifications for new product SKUs in NetSuite
  • Submit reports and classification requests to BIS and monitor regulatory developments
  • Escalate restricted-country and denied-party screening issues
  • Support corporate governance activities, Board and shareholder meetings, and SEC reporting obligations
  • Manage entity maintenance, compliance calendars, business licenses, renewals, and entity database records
  • Administer the LRN Catalyst compliance training platform and employee screening through RPS
  • Assign and track annual compliance training and manage FCPA training for distributors and resellers
  • Own and automate the end-to-end NDA process, including intake, routing, e-signature, and storage
  • Maintain repositories of contracts, agreements, legal files, trackers, and corporate records
  • Identify and leverage AI tools to improve legal operations workflows
  • Administer patent and trademark records
  • Support mergers, acquisitions, financing transactions, due diligence, closings, and post-closing obligations
  • Coordinate with outside counsel, internal stakeholders, and third-party service providers
  • Provide administrative support including scheduling, travel, CLE registration, and Concur expense reporting
  • Process legal invoices in NetSuite and maintain a monthly legal cost tracker
  • Monitor bankruptcy notices, submit claims, notarize documents, and provide legal/export compliance guidance

Requirements

What you’ll need
  • At least 3 to 5 years of paralegal or legal operations experience
  • Paralegal certificate or bachelor's degree in a related field, or equivalent experience
  • Experience with corporate governance, entity management, and contract administration
  • Experience with e-signature platforms such as DocuSign and document management systems
  • Professional interaction with executives, board members, and outside counsel
  • Ability to work independently in a small legal team environment
  • Demonstrated interest in process improvement, workflow automation, and AI tools
  • Notary commission in place or willingness to obtain
  • Proficiency with NetSuite, SharePoint, or similar business systems preferred
  • Familiarity with U.S. export compliance regulations, including ECCN, HTS, and EAR, is a plus
  • Valid work authorization in the United States at application; no visa sponsorship available
