About the role

Key responsibilities & impact
  • Support the team in managing and coordinating customer and distributor inquiries
  • Process customer orders accurately and in a timely manner
  • Prepare and maintain customer order reports and related documentation
  • Track shipments and ensure timely delivery to distributors and direct customers
  • Handle customer complaints, ensuring timely resolution in line with internal SOPs
  • Escalate complaints where required, including cases with potential commercial or regulatory impact
  • Cooperate closely with internal stakeholders (logistics, warehouse, finance) on order and shipping topics
  • Process invoices and raise purchase orders where required
  • Ensure accurate data maintenance in internal systems
  • Comply with internal policies, procedures, and OSH rules
  • Perform additional tasks assigned by the supervisor in line with qualifications

Requirements

What you’ll need
  • Experience in customer service, administration, or a similar role
  • Administrative experience with a proven record of accurate data entry
  • Native-level Polish (written and spoken)
  • Very good English skills (written and spoken, minimum B2 level)
  • Good command of Microsoft Office; experience with ERP systems (SAP or Microsoft Dynamics AX) is an advantage
  • Strong communication and interpersonal skills
  • High attention to detail and strong organizational abilities
  • Customer-focused mindset and solution-oriented approach
  • Ability to work effectively in a team and manage priorities
