About the role

Key responsibilities & impact
  • Review client, matter, and billing information on New Business Intake forms for completeness and accuracy, modifying data as needed
  • Process DentonsOpen client and matter maintenance forms through Finance, Final Finance Review, and Final Risk Review steps
  • Coordinate creation and updates of Jira requests for the DUS region
  • Ensure credit allocations are set up in matter forms to reflect reporting requirements
  • Manage the assigned team by assigning work, monitoring quality and timeliness, resolving issues, providing training and mentorship, and assessing performance
  • Manage matter updates related to the Departing Lawyer process, including credit allocation changes and matter closures
  • Manage large intake processes for lateral hires and specialty groups, coordinating client and matter number creation
  • Identify matters requiring escalation to a senior Finance team member
  • Manage department records, including the advance waiver chart and related documentation, and oversee associated scanning efforts
  • Manage review and updating of the Firm’s internal compliance policies and procedures
  • Assist with matter opening and intake training for new hires
  • Monitor the DentonsOpen support mailbox and respond to U.S. end-user inquiries
  • Participate in the Global Enhancement Working Group with members from other regions
  • Review client release letters, coordinate electronic file transfers with IT, coordinate matter closures, and partner with other regions on matters identified as WTMs
  • Assist with projects and ad hoc assignments as required
  • Perform other duties assigned to meet position requirements

Requirements

What you’ll need
  • Bachelor’s degree or equivalent experience required
  • 6+ years of experience overseeing a new business intake process
  • Proven ability to manage a team with diverse personalities, skill sets, and priorities
  • Strong, credible leadership presence with ability to guide, coach, and support team members
  • Ability to balance multiple priorities in a fast-paced environment
  • Self-starter with excellent interpersonal, written, and verbal communication skills
  • Ability to ensure compliance with Firm policies and control procedures
  • Ability to clearly explain problems and issues to partners and clients and contribute proactively to resolution
  • Strong organizational skills, accuracy, and attention to detail
  • Excellent proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook
  • Technical proficiency with Elite 3E/Aderant and InTapp preferred
  • Ability to work independently and effectively with individuals at all levels, locally and remotely as part of a larger team
