About the role

Key responsibilities & impact

Execute and manage procurement of materials and equipment for geothermal projects and HVAC distribution
Analyze project schedules to anticipate material needs before they become urgent; stay ahead of the field
Track open orders from PO to delivery, coordinate logistics to delivery sites, and proactively keep stakeholders informed of status, delays, or changes
Own and maintain a real-time, accurate dashboard of all open orders; this is a critical visibility tool for the broader team
Confirm that deliveries match purchase orders; resolve discrepancies quickly
Keep our NetSuite environment clean and current: PO fulfillment, sales order processing, and inventory management
Identify repetitive, manual tasks in the procurement workflow and build smarter systems — whether that's automations, AI-assisted workflows, or better tooling — to reduce friction and increase reliability

Requirements

What you’ll need

Strong with software systems and operational tools
Demonstrated comfort using AI tools (ChatGPT, Claude, Copilot, etc.) in a professional and/or academic workflow context.
Strong Excel and/or Google Sheets skills
Excellent attention to detail and organizational skills
Ability to manage multiple priorities and stay organized in a fast-paced/changing operational environment
Strong written and verbal communication skills with the ability to proactively communicate updates, risks, and issues
