About the role

Key responsibilities & impact
  • The Executive Assistant provides high-level administrative support to assigned executive leader(s) and/or functional areas.
  • Serve as the primary administrative point of contact for assigned executive(s), managing communications, inquiries, requests, and administrative priorities with professionalism and discretion.
  • Build and maintain effective working relationships with internal and external stakeholders.
  • Exercise independent judgment to prioritize, route, and respond to communications and requests as appropriate.
  • Handle confidential business and company information with discretion and sound judgment.
  • Draft, edit, summarize, and distribute professional correspondence, presentations, and other communications.
  • Manage executive calendars, meeting priorities, scheduling conflicts, and recurring meeting cadence.
  • Coordinate executive meeting logistics, including attendees, rooms, Teams links, agendas, and pre-read materials.
  • Schedule and coordinate business travel arrangements for Executive(s), including itineraries and agendas.
  • Prepare expense reports, open and sort mail, and perform other general administrative functions.

Requirements

What you’ll need
  • Bachelor’s degree or equivalent experience.
  • Minimum of 8 years of executive administrative support experience, including support of senior leaders; experience supporting C-level executives is strongly preferred.
  • Demonstrated experience managing highly confidential information with professionalism, discretion, and sound judgment.
  • Exceptional interpersonal, verbal, and written communication skills with the ability to adapt communication style to diverse audiences.
  • Demonstrated ability to build collaborative working relationships and effectively partner across executive teams, administrative teams, and business functions.
  • Demonstrated ability to anticipate executive needs, exercise sound judgment, proactively solve problems, and independently develop practical, cost-effective solutions with minimal supervision.
  • Exceptional organizational, planning, prioritization, and follow-through skills with the ability to manage multiple competing priorities while maintaining a high level of accuracy and attention to detail.
  • Demonstrated emotional intelligence, professionalism, adaptability, and resilience in a fast-paced environment.
  • Expert-level proficiency with Microsoft 365 applications and other business software, with the ability to quickly learn, adopt, and leverage emerging technologies and digital tools to improve efficiency, collaboration, and executive support.
  • Action-oriented with a sense of urgency, an ability to prioritize, and a willingness to be flexible based on business need.
  • Thrives in a dynamic, fast-paced, and evolving organization.
  • Open to and flexible with hours of availability, as determined by the needs of the business, for projects and meetings as necessary.
