About the role
Key responsibilities & impact- Plan and execute daily dispatch schedules for approximately 5 crews of 2-5 team members
- Assign crews, vehicles, and routes to maximize efficiency and meet project timelines
- Make real time dispatch decisions related to staffing changes, delays, traffic, call outs, or job site issues
- Monitor job progress throughout the day and adjust plans as conditions change
- Escalate only unique, complex, or high-risk scenarios ranging from safety issues, project installation obstacles and customer concerns to the Director of Field Logistics as needed
- Maintain accurate and up to date dispatch records using IQ Coordinator (training provided)
- Provides updates to customers on delivery status, handling incoming calls and interacting directly with drivers and clients
- Keeping and organizing work requests, customer requests, completed work requests, charges for work performed, expenses for services performed, inventory records and other information
- Secure coverage for sick calls from drivers or installation team members
- Partner cross-functionally with other departments to keep account records updated and resolve customer issues
- Perform data entry and administrative tasks related to work orders, schedules, and job documentation
- Assist with reporting, tracking, and documentation using Microsoft Excel, Outlook, Word, and Teams
- Support coordination between project managers, facilities, and office operations
- Act as a professional and responsive liaison for internal stakeholders across teams
- Assist with miscellaneous operational and administrative projects as assigned
- Partner with the Facilities Manager and Experience Manager on basic site needs and events
- Help maintain a clean and welcoming café/breakroom area
- Replenish snacks and basic kitchen supplies
- Order office supplies as needed
Requirements
What you’ll need- High school diploma or GED required; Bachelor's degree preferred
- 3-5 years of experience in dispatch, logistics, field operations, or a coordination role
- Prior dispatching experience preferred; experience with IQ Coordinator or similar software is a plus
- Strong working knowledge of Microsoft Office (especially Outlook and Excel)
- Exceptional attention to detail and organizational skills
- Proven ability to manage competing priorities and adapt quickly to last-minute changes
- Clear, confident communication skills across phone, text, email, and Teams
- Comfortable interacting with field crews and making firm, time-sensitive decisions
- Logistics, construction, or furniture installation experience preferred but not required
- Bilingual (English/Spanish) is highly preferred.
