About the role

Key responsibilities & impact
  • Obtain and compare parts quotes to support estimators and repair planning.
  • Order parts for approved repair estimates and new repair jobs.
  • Process and order supplemental parts as needed, ensuring proper PO tracking and documentation.
  • Research alternative vendors to source aftermarket or backordered parts.
  • Communicate daily with vendors regarding order status, pricing, and delivery timelines.
  • Track, maintain, and update parts ETA spreadsheets to ensure clear communication with the Body Shop team.
  • Review repair orders (ROs) for accurate parts pricing and paint cost allocation.
  • Create and manage Special Order Requests for parts procurement.
  • Maintain organized purchasing records, purchase orders, and vendor communications.
  • Support operational efficiency by helping minimize repair delays related to parts availability.

Requirements

What you’ll need
  • Prior experience in parts coordination, purchasing, procurement, automotive/truck parts, body shop operations, or related administrative support preferred.
  • Experience with medium- or heavy-duty truck/trailer parts is a plus.
  • Basic proficiency with Microsoft Outlook, Excel, and Word.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Ability to follow instructions, work independently, and collaborate with team members.
  • Strong communication and follow-up skills with vendors and internal teams.
  • Dependable attendance and punctuality required.
