About the role
- Support a Vice President and a Senior Vice President on the Power and Infrastructure Team
- Manage complex calendars, schedule coordination, and leadership direct reports' alignment
- Process expense reports, compose confidential correspondence, and arrange travel
- Improve meeting effectiveness by developing agendas, documenting notes, tracking decisions and action items, and ensuring follow-through
- Lead planning and execution of leadership offsites, team events, and gatherings, owning logistics, vendor coordination, agenda development, and on-site support
- Identify, design, and implement new processes and solutions to improve team collaboration, efficiency, productivity, and communication
- Work closely with other EAs and Workplace Managers to coordinate corporate travel, conference registrations, and office/company-wide events and activities
- Perform occasional personal tasks and errands for leadership and other clerical or administrative duties as assigned
- Be accessible during the traditional work week and provide occasional flexibility outside standard hours for urgent matters
- Collaborate to ensure operational efficiency and executive alignment, contributing to company culture and mission
Requirements
- 3-5 years of experience in an executive administrative role
- Experience working with and supporting technology/software teams (desirable)
- Exceptional communication skills—written, verbal, and interpersonal
- Strong attention to detail—accuracy in numbers, logistics, and communication
- Exercise discretion and confidentiality with sensitive information
- Ability to prioritize conflicting needs and manage time effectively in a fast-paced environment
- Proven success in planning and executing team offsites or large-scale events
- Skilled at content creation; able to build clear, compelling decks, agendas, and executive communications
- Proactive and always looking for ways to help and improve processes
- Able to work independently while keeping stakeholders informed and aligned
- Proficient in Google Workspace (Gmail, Docs, Sheets, Drive, Slides, etc.)
- Positive, can-do attitude and a growth mindset
- Eager to grow with the organization and take on new challenges
- Required to work on-site five days per week
- Be accessible and available during the traditional work week, with occasional flexibility outside standard hours for urgent matters
