About the role

Key responsibilities & impact
  • Manage a complex and constantly evolving calendar maintenance, including internal leadership meetings, strategic reviews, customer and partner engagements, and cross-functional operating cadences.
  • Coordinate domestic and international travel, itineraries, logistics, and related expense management with precision and strong attention to detail.
  • Serve as a trusted partner by anticipating needs, protecting time, and ensuring they are prepared for key meetings, decisions, and engagements.
  • Prepare and coordinate briefing materials, agendas, background notes, and follow-up items for executive meetings.
  • Support the operating rhythm of the organization, including planning meetings, team checkpoints, and priority reviews.
  • Act as a highly professional point of contact for internal and external stakeholders, exercising sound judgment, discretion, and responsiveness.
  • Drive follow-through on action items by tracking commitments, surfacing deadlines, and partnering across functions to ensure timely execution.
  • Collaborate closely with the Office of the CEO, executive assistants, and cross-functional partners to ensure seamless coordination across executive schedules and priorities.
  • Continuously improve administrative processes, communication flow, and executive support practices to increase efficiency and executive leverage.
  • Provide support in onboarding new members to the AI Systems team.

Requirements

What you’ll need
  • 10+ years of experience supporting C-level or senior executives in a fast-paced, high-growth, or highly matrixed environment
  • Demonstrated ability to manage complex scheduling, travel across global timezones, and competing priorities with minimal oversight
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills with a polished and professional presence
  • Proven ability to gather and handle highly sensitive and confidential information with discretion
  • Strong judgment, problem-solving ability, and a proactive, service-oriented mindset
  • Comfort working across senior stakeholders and cross-functional teams, both internally and externally
  • Ability to adapt quickly, stay composed under pressure, and maintain a high bar for execution
  • Ability to travel as needed.
