About the role
Key responsibilities & impact- Executive Support: Manage calendars, email inboxes, scheduling, task prioritization, and administrative follow-up for Jon Hawk to improve his efficiency, organization, and day-to-day productivity.
- Client Intake: Answer, screen, and route approximately 10–20 incoming calls per day, conduct initial client intake, and provide a professional first impression to clients.
- Clio Management: Assist with data entry, case management, document template creation, and workflow automation in Clio to help facilitate the firm's transition to the platform.
- Office Organization: Maintain organized filing systems, document management, and task tracking to streamline operations.
- Team Collaboration: Provide overflow support for assigned projects in marketing and operations as needed.
Requirements
What you’ll need- Legal Experience: 2–3+ years supporting attorneys in a U.S.-based law firm, particularly in personal injury.
- Technical Proficiency: Strong knowledge of Clio, Microsoft Office 365, CRM systems, and document automation workflows.
- Communication Skills: Native or near-native English with excellent phone presence and written communication.
- Organizational Skills: High attention to detail, excellent organizational skills, and the ability to manage competing priorities while balancing multiple responsibilities.
- Independent Work: Self-motivated with the ability to anticipate needs, exercise sound judgment, and operate autonomously.
- Remote Work Readiness: Comfortable working remotely while maintaining consistent availability, responsiveness, and effective collaboration during the firm's preferred 10:00 AM–6:00 PM Eastern working hours.
