About the role

  • The purpose of this position is to source, negotiate and contract vendor agreements based on customer’s program goals and budget.
  • Responsible for searching for venues, negotiating terms/pricing, and finalizing contracts based on the program's goals and objectives and the program's space requirements.
  • Lead discovery calls to engage customer and learn about the meeting needs focusing on the goals and objectives of the program.
  • Include all internal stakeholders.
  • Demonstrates a collaborative work style by using a consultative approach, actively listening to customer’s ideas, quickly assess information, anticipate issues/outcomes, and make effective recommendations.
  • Make destination recommendations; submit eRFP’s through client preferred Event Technology Platform for a diverse group of customers with consideration of the program goals, objectives, budget, space requirements and preferred properties.
  • Produce accurate documents/reports for clients and vendors in conjunction with account needs.
  • Conduct effective contract negotiations including terms, due dates, cost savings and concessions.
  • Facilitate contract execution between the parties in a timely manner.
  • Provide meeting owner/requester a summary of all terms, due dates, cost estimates for budgeting purposes, and deposits.
  • Record accurate budget, cost, savings, and contract execution in Cvent or applicable technology.
  • Manage program reconciliation, invoicing, accounts payable, and accounts receivables for each program; when applicable.
  • Follow-up to ensure timely payment processing and revenue reconciliation.
  • Meet or exceed program timelines and deadlines established by customer or program.
  • Responsible for working closely with internal and external meeting stakeholders to quickly resolve any issues that may arise.

Requirements

  • High school diploma or equivalent is required.
  • Minimum of 5 years venue sourcing experience preferred, including vendor contracting and negotiation.
  • A CMP and/or CMM designation is preferred.
  • Technology designations, such as Cvent Event and Sourcing Professional Certifications are strongly recommended.
  • Strong proficiency in meeting technology for example: Cvent; Groupize, Lenos; and other technologies as needed.
  • Ability to work evening hours, weekends, and longer hours during high volume periods.
  • Basic understanding of Strategic Meeting Management Programs.
  • Excellent time management skills.
