About the role
Key responsibilities & impact- Maintain the firmwide Professional Development calendar for PD events and Academies
- Distribute timely updates and changes
- Coordinate scheduling and end-to-end logistics for PD events and initiatives, including PNC/SC
- Manage registrations, attendance and event rooming lists
- Provide onsite event support, including check-in, materials distribution, speaker support and issue resolution
- Liaise with Marketing, Creative and Technology to coordinate event communications, deliverables and technical requirements
- Develop and maintain PD templates and tools, including tip sheets, invitations, agendas, checklists and evaluation forms
- Standardize procedures across annual Academies
- Process invoices and expenses
- Support department budget tracking and documentation
- Identify opportunities to improve recurring event and administrative processes through standardized workflows, templates, documentation, approved technology and automation tools
- Perform all other duties as assigned or required
Requirements
What you’ll need- After orientation at Cooley LLP, proficiency in the Microsoft Office suite, iManage and other firm applications
- Available to work overtime, as required
- 2+ years of direct related experience in administrative, project coordination or event coordination experience
- Technical problem-solving abilities
- Bachelor’s degree preferred
- Experience working in a professional services firm preferred
- Interest in learning and applying firm-approved AI and automation tools preferred
- Excellent attention to detail
- Strong verbal and written communication skills
- Ability to organize, prioritize and coordinate multiple activities
- Strong judgment
- Ability to handle and maintain confidentiality regarding firm information, projects and client data
- High level of professionalism
- Continuous improvement mindset and curiosity for improving processes, adopting new technologies and creating efficient, scalable ways of working
