About the role
Key responsibilities & impact- Oversee projects and duties supporting the IP Operations team and the practice
- Serve as coordinator and resource for IP Services business planning and project support
- Support practice group members with establishing, updating, and maintaining accounts to access USPTO systems
- Collect and organize information for inclusion in various communication tools to the IP practice groups
- Maintain IP practice group pages on the firm’s intranet
- Coordinate various group wide meetings, presentations, internal and offsite training sessions
- Assist with maintaining IP practice group Policies and Procedures Manuals
- Lead training for IP new hires on invoice processing and assist in developing training materials for the practice
- Research various vendor invoice issues and assist in developing solutions and/or communications
- Maintain data in Excel, MS Lists, PowerBI, and SharePoint
- Support the IP Leadership team in their annual project process
- Interface with other firm departments
- Prepare and modify correspondence, communications, presentations, educational materials and other documents
- Develop and update various forms, charts and databases to track special projects
- Provide administrative support to the Director of IP Services
Requirements
What you’ll need- 2+ years of experience as an IP Assistant, Operations Assistant or equivalent role
- Proficiency in Microsoft Office suite, iManage and other firm applications
- Excellent attention to detail
- Strong verbal and written communication skills
- Ability to organize, prioritize and coordinate multiple activities
- Strong judgment
- Team-player with collaborative spirit
- Unwavering ability to handle and maintain confidentiality regarding firm information, projects, client data (if applicable)
- High level of professionalism at all times
