About the role
Key responsibilities & impact- Provide comprehensive administrative and secretarial support
- Assist the Plant Manager and Management team with administrative tasks
- Produce and manage information through transcription, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
- Proofread and edit letters and reports
- Assist the team with Word, PowerPoint, and Excel presentations/documents
- Handle correspondence, drafting letters and documents
- Ensure proper handling and distribution of incoming/outgoing mails
- Manage the Managers's appointment schedule and handle extensive global travel arrangements
- Follow internal procedures for signature memos and purchase requisition orders
- Update the Plant Manager’s contact databases
- Take minutes of meetings, issue reports, and follow up on agreed tasks
- Ensure property, facilities, and company equipment remain in good repair and appearance
- Liaise with the company office management team and the IT team
Requirements
What you’ll need- Bachelor's degree in administration or equivalent
- Minimum of 5 years of experience as an Executive/Administrative Assistant
- Fluency (oral and written) in both English and French
- Proficient in Microsoft Office applications (Word, PowerPoint, Excel, Outlook)
- Strong ability to prioritize workload and work independently
- Excellent administrative writing and communication skills
- Good mastery of Coupa, SAP
- Knowledge of CG procurement and outsourcing contract procedure
