About the role

Key responsibilities & impact
  • Strategically manage the President’s calendar
  • Be the primary point of contact for the Office of the President with staff and external stakeholders
  • Independently manage the President’s inbox, calls and other communications, including reviewing communications to prioritize urgent matters, and filtering and summarizing other topics to ensure the President has the necessary information for their priority work
  • Use your knowledge of our organizational priorities and strategic direction to prepare key communications, including emails, comprehensive briefing materials for meetings, and responses to inquiries on behalf of the President
  • Create systems to manage and track the President’s interactions with stakeholders, analyzing information to support strategic use of time
  • Ensure the President is prepared for each meeting on their calendar, including coordinating with staff across the organization to provide the President with the necessary preparation in advance
  • Make strategic decisions about the President’s schedule to ensure their time is spent on the highest priority work, including decisions about what meetings the President should attend and what staff to include in communications
  • Independently manage the President’s calendar and coordinate complex scheduling with other teams and external stakeholders in alignment with priority work, including navigating multiple priorities and overlapping commitments
  • Independently manage travel for our President, including transportation, lodging and meals, and sharing all itineraries with relevant staff
  • Lead meetings and communications with the broader organization and external stakeholders
  • Lead the planning and execution of a complex set of logistics for our National Governing Board meetings, including preparing and finalizing agendas based on input from senior leaders, coordinating catering and meals, coordinating board members’ travel schedules, and booking lodging for all National Governing Board members
  • Create the communication strategy for Executive Team and board members in advance of each board meeting, including what information will need to be shared with each stakeholder and by when
  • Take meeting minutes and track action items and voting results to maintain official organizational records
  • Compile, format, and distribute board packets (financials, reports, and proposals) ahead of meetings to ensure board members are fully prepared
  • Collaborate with the Board Chair and Chief of Staff to draft meeting agendas and schedules
  • Ensures the organization adheres to its bylaws and tracks term limits, committee assignments, and elections for board members
  • Draft, edit, finalize and present reports, presentations, memos and project updates for different audiences, including staff, board members, and external partners
  • Draft internal and external communications, speeches, and newsletters on behalf of the president in partnership with External Affairs
  • Coordinate with staff across the organization to ensure Office of the President has necessary materials for all internal and external meetings
  • Lead high-impact, cross-functional projects that the president champions, such as annual convenings or new programs
  • Identify ways to increase operational efficiency within the Office of the President and lead change efforts to implement relevant systems and processes
  • Create and implement systems to increase efficiency in communications between Office of the President and all other departments
  • Conduct research and data analysis and track metrics for key projects
  • Manage confidential information and prepare confidential communications with the Collective Bargaining Unit
  • Manage and submit expense reports for all staff for the Office of the President
  • Manage on-going expenses for Office of the President and organizational events, and track details for monthly and annual budget processes
  • Other duties as assigned

Requirements

What you’ll need
  • Experience managing a calendar and inbox for a senior executive
  • Experience managing communications with board members
  • Experience planning large-scale and/or complex events
  • Experience maintaining strict confidentiality for sensitive information
  • Ability to travel on average once per month to support the President, and for team and/or all staff retreats
  • Ability to work in-person in the DC office at least three days per week, as well as the ability to work weekends and evenings as needed
  • Willing to have a social media presence on behalf of Common Cause, including being tagged on posts and creating content on behalf of the organization (as needed, Common Cause will provide accounts for staff members to use)
  • Per our nonpartisan policy, Common Cause staff members may not currently be in elected office (or running for office); on the Steering Committee or Finance Committee for any political candidate; or affiliated with the leadership of a political party
