About the role

Key responsibilities & impact
  • Manage Lease Administration resources, including direct-report HR functions, client implementations, and client and vendor relationships
  • Establish and produce schedules, reports, communication plans, and process flows for the assigned Lease Administration team
  • Perform lease administration services for assigned accounts
  • Manage people and build teams; oversee hiring and employment practices
  • Act as managing lease analyst on large accounts and lead Lease Analysts supporting multiple small and medium-sized accounts
  • Communicate with clients, brokers, account managers, and landlords
  • Perform database quality control and identify errors and inconsistencies
  • Create, edit, and run reports in Lease Administration databases
  • Mentor and train Lease Analysts
  • Interpret complex commercial lease language
  • Oversee lease abstraction, translation, and quality control processes
  • Assist with account transitions and setup
  • Maintain account processes, procedures, and playbooks
  • Abstract or input rental obligations and other important lease information
  • Track and communicate lease expirations, option exercise dates, and other critical information
  • Reconcile outstanding account balances and resolve disputes with landlords and clients
  • Serve as the main contact for clients and internal stakeholders on lease administration matters
  • Conduct client meetings and reviews presenting portfolio updates, metrics, and performance reports
  • Develop and maintain client governance programs
  • Manage client escalations and resolve issues
  • Identify account risks, develop mitigation strategies, and project-manage solutions
  • Ensure global teams deliver services according to client processes and contracts
  • Participate in new-business pitches and client presentations
  • Assign database management tasks to global team members
  • Establish weekly calls and internal communication cadence with global account team members
  • Oversee lease abstraction/input and provide final quality control
  • Use Colliers360, dashboards, WorkTrac, and related systems
  • Review recovery clauses, establish recovery pools, calculate tenant recovery expenses, and review caps, base years, and exclusions
  • Prepare monthly rental payment schedules
  • Monitor, review, and approve Rent, CAM, Operating Expense, Tax, and Insurance payments to landlords
  • Review leases for payment-charge accuracy
  • Validate Consumer Price Index adjustments
  • Maintain file systems and database data integrity
  • Maintain team allocations and workload assignments

Requirements

What you’ll need
  • Bachelor's degree in business, accounting, real estate, or a similar field preferred
  • At least 7 years of relevant experience in commercial real estate lease administration and/or accounting and property management
  • Experience in landlord or tenant sectors
  • Intermediate to expert experience with multiple commercial real estate database applications, such as CoStar, Yardi, Apex, ProLease, or Virtual Lease
  • Documented success working on multi-line global accounts with 1,000+ leases and global account management structures
  • Intermediate proficiency with Microsoft Office tools, including Word, PowerPoint, Excel, and OneNote
  • Thorough knowledge of FASB/IFRS accounting rules and general accounting principles preferred
  • Successful track record working independently, preferably remotely
  • Strong time management skills
  • Ability to manage people and tasks effectively
  • Applicants must be currently authorized to work in the United States on a full-time basis
