Senior Operations Associate
Coefficient GivingSenior Operations Associate in the Office of the CEO, extending leadership capacity and focus. Managing schedules, communications, and administrative tasks for the CEO.
About the role
Key responsibilities & impact- Own organizing Alexander's calendar by scheduling meetings with team members and external stakeholders, leading a calendar sync meeting with Alexander at the beginning of every week, and analyzing time allocation across key areas
- Help triage Alexander's inbox and learn to write effectively in his voice, maintaining fast response times and building systems to track and route incoming asks
- Handle the full range of day-to-day administrative needs, including travel planning, expenses and reimbursements, external appointments, and executive office software (Airtable, Asana, Toggl)
- Coordinate with internal stakeholders to gather materials and information ahead of Alexander's meetings; write meeting agenda first drafts; track and execute follow-up action items; ensure that conferences, events, and in-person visits go smoothly
- Maintain a comprehensive database of Alexander's professional contacts and proactively surface relevant meetings and events based on current priorities and travel
- Identify administrative bottlenecks and develop solutions, including AI integration; own special projects that increase efficiency and strengthen internal knowledge management
Requirements

- Are excited about Coefficient Giving's mission and its cause areas. You are enthusiastic about working in an organization that values a wide variety of viewpoints and navigates difficult tradeoffs between cause areas (especially our work on navigating transformative AI).
- Have strong interpersonal skills. You communicate clearly, professionally, and effectively across a wide range of audiences, ranging from new hires to senior executives and external visitors.
- Work in a responsive, agile way. You stay calm when conditions change and can improvise and pivot quickly when priorities shift.
- Are excited about operations and administrative work to support principals. You understand that proactive and forward-thinking operational work is crucial for principals to achieve their goals. You anticipate needs, plan ahead, and make sure that balls don’t get dropped. You’re also comfortable with providing constructive criticism to help principals stay on track.
- Are curious and proactive about using AI tools and automation. You look for ways to apply these to improve how you work.
