About the role
- Accurately prepare and file legal documents with courts and agencies in advance of applicable deadlines, including electronic and manual filings.
- File, organize, scan, copy, and distribute legal documents, correspondence, and mailings promptly.
- Schedule and coordinate court appearances, depositions, hearings, mediations, and other meetings.
- Maintain multiple calendars and agendas, monitor deadlines, and provide timely reminders to attorneys and staff.
- Assist with internal events, client meetings, and trial or hearing preparation as needed.
- Support attorneys with research projects and other case-related tasks as assigned.
- Register attorneys for conferences, speaking engagements, and webinars.
- Maintain and update firm contact databases and generate reports as requested.
- Prepare and calendar motions and related pleadings.
- Perform additional duties and special projects as assigned by management.
Requirements
- Minimum of three (3) years of experience as a legal assistant, legal secretary, or paralegal, preferably in a litigation environment.
- Strong familiarity with legal documents, court procedures, and litigation terminology.
- Working knowledge of litigation management and document management software systems.
- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Adobe Acrobat.
- Exceptional organizational, planning, and attention-to-detail skills with the ability to manage confidential information.
- Proven ability to prioritize tasks, meet deadlines, and follow up on outstanding matters.
- Ability to work collaboratively with attorneys, colleagues, and external clients at all levels.
- Demonstrated ability to work independently with minimal supervision.
- Professional, courteous demeanor with strong interpersonal skills.
- Superior written and verbal communication skills.
- Ability to handle multiple directives in a fast-paced environment and adjust priorities as needed.
