About the role
Key responsibilities & impact- Provide dedicated administrative and secretarial support to fee earners and a Partner
- Assist the Partner with related matters and ad-hoc tasks
- Manage calendars, schedule meetings and coordinate appointments
- Answer and filter telephone calls and liaise with internal and external clients and secretaries
- Check, scan and save incoming correspondence to the document management system
- Send outgoing emails and organise mail for collection
- Photocopy, scan, print documents and maintain paper files
- Prepare bundles and files
- Maintain, index and archive electronic client files, including trial bundles
- Arrange collections and retrievals from the off-site archive company
- Communicate with lawyers, secretaries, administrative assistants and clients across Singapore and other regions
- Manage and prioritise workload to meet deadlines
- Input, log, merge and generate Excel reports
- Perform general billing administration, including preparing and reviewing draft bills and related correspondence
- Process disbursement bills, third-party invoices, expense claims and cheque requisitions
- File and circulate court documents through the e-litigation portal
- Track hearing dates and conduct cause book searches
- Cover reception when needed and run errands as required
- Report to the relevant Partner, Legal Support Team Leaders and Legal Support Manager
Requirements
What you’ll need- Proven legal secretary experience
- Experience providing legal secretarial support up to and including Partner level
- Prior Personal Assistant experience is an added advantage
- Recognised secretarial qualification with good academics
- Accurate typing at 60+ words per minute
- Proficiency in MS Office, including Outlook, Word, Excel and PowerPoint
- Strong command of spelling, grammar and legal terminology
- High attention to detail and accuracy
- Ability to multitask and prioritise daily workload to meet deadlines
- Excellent organisational and communication skills
- Initiative and proactivity
- Calm and professional demeanour under pressure
- Ability to exercise discretion and maintain confidentiality
