About the role
Key responsibilities & impact- Manage the shared member inbox, responding warmly and promptly to enquiries and payment questions
- Process new subscriptions and cancellations, and verify new member registrations and onboarding
- Perform monthly database reconciliations across WooCommerce, MailerLite, and internal trackers
- Clean up bounced, unsubscribed, or inactive accounts to keep records accurate
- Prepare monthly Zoom links and Google Docs, and update member library links and passwords
- Support program launches and monthly changeovers from start to finish
- Maintain the company's Trello board so no operational task slips through the cracks
- Build, test, and schedule daily Chi Flow emails and monthly email campaigns in MailerLite
- Keep onboarding sequences, Free Class campaigns, and Mid-Month Talk flows updated and error-free
- Keep email graphics, recordings, and program links fresh and accurate
- Map out and schedule social media posts using Metricool, plus manual posting in Facebook Groups
- Build eye-catching graphics in Canva using existing brand assets, and edit and publish Instagram Reels
- Monitor Facebook Groups, Pages, and Instagram, answer direct messages, and support promotional campaigns
- Upload monthly videos to YouTube using SEO best practices
- Refresh copy, program landing pages, countdown timers, and app link pages on WordPress
- Audit the website regularly to confirm all links remain active and correct
Requirements
What you’ll need- Proven experience managing a high-volume shared inbox and calendars
- Strong database and record management skills
- Exceptionally organized, with experience using task boards like Trello and building clear, documentable operating procedures
- Comfortable learning and navigating backend client systems such as WordPress dashboards, password updates, and file management in Google Drive
- Outstanding written English, with warmth, empathy, and professional clarity to handle delicate billing, subscription, and onboarding inquiries
- Enjoy collaborating and thriving in a remote team environment
- Willingness to work in a US time zone schedule
- Required technical setup: At least a 720p HD webcam, a noise-canceling headset, a primary internet connection of at least 25 Mbps, a backup laptop, backup internet device, a backup power source, a main computer with at least Intel Core i5 (or equivalent) and 8 GB RAM, a backup computer with at least Intel Core i3 and 4 GB RAM
