About the role
Key responsibilities & impact- Provide administrative support to the VP, Supply Chain Planning
- Manage and prioritize the VP’s calendar, schedules, and meetings
- Plan and organize meetings, including agendas, locations, WebEx/TP technology, and logistics
- Prepare meeting briefing documents, disseminate notes, and formulate post-meeting action-item lists
- Act as proxy for communications and approvals as authorized
- Answer general questions, refer routine matters, and follow up through completion
- Resolve issues within policies and guidelines
- Provide mentoring to administrative community members on problem solving
- Make global travel arrangements and optimize itineraries for calendared meetings
- Manage Cisco travel expenses and coordinate airline upgrades where available
- Provide analytical support for special projects by researching issues, analyzing problems, compiling data, and preparing reports
- Lead and support onsite events for the Austin Supply Chain Operations organization
- Support supplier visits, in-person office activities, program logistics, and communications
- Build community and engage with the Austin team
Requirements
What you’ll need- 4+ years’ experience in an administrative environment
- Minimum 2 years of experience supporting a principal at director level or above
- Expert-level knowledge of Windows desktop applications: Outlook, Word, Excel, and PowerPoint
- Experience in calendar management, meeting planning, and travel coordination
- Must work onsite in the Austin office 2–3 days per week
- Excellent verbal and written communication skills
- Ability to communicate with executive/senior staff and suppliers
- Collaborative style and excellent teamwork
- Problem-solving and decision-making ability
- Past work experience in the high-tech industry desired
- Associate degree preferred
