About the role

Key responsibilities & impact
  • Manage and prioritize the VP’s calendar, meetings, attendees, and substitutes
  • Coordinate the VP’s speaking engagements and content requirements with the communications team
  • Plan and organize meetings, including agendas, locations, meeting technology, logistics, briefing documents, notes, and action items
  • Prepare travel packs for international trips and major domestic events
  • Act as proxy for authorized communications and approvals
  • Answer general questions, refer routine matters, and follow up on completion
  • Resolve issues within policies and guidelines and mentor administrative community members on problem solving
  • Determine when executive action is required and provide recommendations
  • Arrange global travel and optimize itineraries for calendared meetings
  • Manage Cisco travel expenses and coordinate airline upgrades when available
  • Provide analytical support for executive special projects, including research, data analysis, and report preparation
  • Prepare and brief itineraries and accompany the VP at large corporate events such as GSX
  • Handle sensitive and confidential matters professionally
  • Provide ad-hoc support to senior directors within the team

Requirements

What you’ll need
  • 4+ years’ experience in an administrative environment
  • Minimum 2 years of experience supporting a principal at the director level or above
  • Expert-level knowledge of Windows desktop applications: Outlook, Word, Excel, and PowerPoint
  • Experience in calendar management, meeting planning, and travel coordination
  • Excellent verbal and written communication skills
  • Ability to connect with executive/senior staff and clients
  • Strong interpersonal skills, independent judgment, utmost integrity, and ability to balance strategic and tactical actions
  • Outstanding attention to detail
  • Ability to handle confidential information
  • Ability to take initiative, solve problems, and make decisions
  • Associate degree is preferred
  • High-tech industry experience is desired; prior Cisco experience is preferred
