About the role
- Reports directly to the Director of Operations and works closely with Production, Finance, Human Resource and Marketing as required
- Responsible for the work of the Performance Director, Production Manager, Retail Manager, Assistant Company Manager, and their employees
- Oversee training and new hire orientation; monitor performance and conduct appraisals and corrective action
- Final responsibility for company morale, promotions, transfers, and disciplinary arbitration for all personnel including local labor
- Understand and administer employee contracts and work with corporate office and union representatives; prepare weekly payments and reports
- Administer policies regarding discipline, tardiness, absenteeism, and insubordination with full documentation
- Supervise box office operations, cash disbursements, payroll calculations, repair and maintenance evaluations, settlements with local promoters, and preparation of final financial reports
- Create, maintain and distribute itineraries and trip sheets
- Monitor and limit local staffing requirements and emphasize cost control
- Make all travel arrangements and arrange hotels considering safety, comfort, and proximity
- During pre-production, facilitate scheduling of rehearsals, tech rehearsals, crew calls and other operations with Production and Director of Entertainment
- Coordinate maintenance schedules with Production Manager, Department Heads and Director of Operations
- Maintain a comfortable and safe working environment for touring employees
- Coordinate concessions operations with Retail Manager and arrange facility fee payments
- Act as VSTAR liaison to building management and promotion staff; primary customer service contact with venue partners and customers
- Monitor show and trucking operations and ensure timely return of petty cash, accident reporting and settlement backup to corporate office
- Maintain communication between touring units and corporate office to resolve issues efficiently and cost-effectively
- Advance show details with venue contacts regarding FOH, security, VIP, catering, and box office
- Submit and track company member and partner ticket requests and track comp ticket usage
- Monitor venue sightlines and seating inventory to maximize guest experience
- Coordinate on-site catering and report daily final sales information for box office and retail on show days
- Lead or facilitate on-site meetings with venue staff regarding security, emergency protocols, FOH policies, and show specifics
- Track budget for each city/department and submit monthly expense reports for credit card reconciliation
- Maintain petty cash bank and distribute weekly reimbursements
- Oversee company member timekeeping to ensure payroll accuracy
- Plan and organize publicity related needs for each engagement in conjunction with Performance Director
- Perform all other work-related duties as assigned
Requirements
- Requires education equivalent to a bachelor's degree or equivalent industry experience
- Requires good oral and written communication skills to interact with employees
- Minimum +7 years in the Entertainment Industry in an Operations and/or Management field with a background or understanding for retail, merchandise, or touring entertainment
- Minimum of 5 years touring experience in the Entertainment Industry
- Ability to read and interpret venue contracts, box office reports, union agreements, documents, blueprints, safety manuals and budgets as well as draft financial reports and proposals proficiently
- Ability to solve practical problems and interpret diverse instructions delivered in a variety of forms
- Possess exceptional communication, organization, and leadership abilities
- Self-motivated, resourceful and can work independently on a multitude of tasks simultaneously
- Fluent in English, both written and spoken
- Maintain validity of passport and ability to travel internationally as applicable to the tour schedule
- Compliance with COVID-19 vaccination proof requirements where applicable
- Verification of the right to work in the United States (completion of Form I-9 and submission of acceptable documentation)
- Able to pass a background check (which may include credit, criminal, DMV, previous employment, education, and personal references)
