About the role

Key responsibilities & impact
  • Deliver exceptional support to 2 executives across 6 verticals on all administrative matters including scheduling meetings, managing calendars, submitting expenses, tracking invoice payments, understanding the budget, working in DocuSign and Adobe, Concur
  • Manage inquiries regarding Circana procedures and association memberships; navigate corporate sponsorships and events with trade associations, as well as help support any event planning needed across the practices
  • Manage other miscellaneous requests or issues that arise.
  • Develop and maintain a rapport with the executives and stakeholders through strong lines of communication
  • Demonstrate professionalism and strict confidentiality through all interactions, and with all materials, and exercise discretion at all times
  • Assist with various tasks, including, but not limited to maintaining distribution lists and Team calendars
  • Cross functional training /meeting coordination
  • Sponsorship management & Coordination Team event planning
  • Plan meetings (physical or virtual), building PowerPoint content, taking and transcribing minutes, following-up on action items/deliverables, planning events, arranging travel, and accommodation
  • Maintain and refine processes that support the organization.

Requirements

What you’ll need
  • 5+ years’ experience providing administrative support
  • Superb level of professionalism, business acumen and maturity
  • Exceptional organization skills, verbal and written communication skills, and meticulous attention to detail
  • High proficiency in MS Office (Excel and PowerPoint) and auxiliary platforms e.g., MS Teams
  • Strong project and task management skills
  • Ability to multitask and adjust in a fast-paced environment
  • Experience in scheduling assistance and calendar management
  • Ability to adjust working schedule as needed to support meetings before and after office hours
  • Experience with Concur a plus
  • Experience with DocuSign and Adobe.
