Administrative Assistant
CircanaAdministrative Assistant supporting two executives with scheduling, budgeting, and event planning in a leading data solutions company. Major responsibilities include managing calendars and maintaining communication with stakeholders.
About the role
Key responsibilities & impact- Deliver exceptional support to 2 executives across 6 verticals on all administrative matters including scheduling meetings, managing calendars, submitting expenses, tracking invoice payments, understanding the budget, working in DocuSign and Adobe, Concur
- Manage inquiries regarding Circana procedures and association memberships; navigate corporate sponsorships and events with trade associations, as well as help support any event planning needed across the practices
- Manage other miscellaneous requests or issues that arise.
- Develop and maintain a rapport with the executives and stakeholders through strong lines of communication
- Demonstrate professionalism and strict confidentiality through all interactions, and with all materials, and exercise discretion at all times
- Assist with various tasks, including, but not limited to maintaining distribution lists and Team calendars
- Cross functional training /meeting coordination
- Sponsorship management & Coordination Team event planning
- Plan meetings (physical or virtual), building PowerPoint content, taking and transcribing minutes, following-up on action items/deliverables, planning events, arranging travel, and accommodation
- Maintain and refine processes that support the organization.
Requirements
What you’ll need- 5+ years’ experience providing administrative support
- Superb level of professionalism, business acumen and maturity
- Exceptional organization skills, verbal and written communication skills, and meticulous attention to detail
- High proficiency in MS Office (Excel and PowerPoint) and auxiliary platforms e.g., MS Teams
- Strong project and task management skills
- Ability to multitask and adjust in a fast-paced environment
- Experience in scheduling assistance and calendar management
- Ability to adjust working schedule as needed to support meetings before and after office hours
- Experience with Concur a plus
- Experience with DocuSign and Adobe.
