Serve as central hub for all Service Orders (SOs), Work Orders (WOs), and Preventive Maintenance (PM) tasks: receive, log, prioritize, dispatch, and track
Manage data in CMMS and Government RMS (WebTMA, Maximo, QuicX, IWMS, GFE-provided RMS); update work status, labor hours, materials, and completion notes
Track labor and material utilization; validate labor/material hours match contractual CLIN billing
Prepare daily/weekly status reports and monthly workload summaries and performance metrics for Government visibility
File and safeguard service reports, asset records, test results, calibration logs, warranty documents, and project compliance documents
Support QC and Safety documentation by logging deficiencies, corrective actions, and closeout verification
Assist with inventory tracking, requisitioning materials, and monitoring vendor deliveries
Provide data for Contract Deliverables (CDRLs) and assist with Government inspections or audits
Serve as point of contact between Project Manager, Government COR, technicians, and subcontractors regarding work status
Record project meetings, distribute meeting summaries, and collect closeout documentation
Plan, schedule, monitor, and coordinate project personnel and tasks to keep projects on-time per delivery schedule
Disseminate technical information clearly in writing and verbally across stakeholders
Independently initiate and drive tasks, solve problems proactively, and perform other duties as assigned
Requirements
High School Diploma or equivalent
At least 4 years of experience in an administrative, facilities, maintenance, or work control role
Familiarity with maintenance/operations terminology, work order processes, and preventive/corrective maintenance scheduling
Proficiency with Microsoft Office Suite (Excel, Word, Outlook, MS Project, PowerPoint)
Experience using a CMMS (e.g., WebTMA, Maximo, Tririga, Archibus, Quicx, BUILDER)
Understanding of work classification (emergency, urgent, routine) and PWS-driven timelines
Excellent scheduling and project database management skills
Ability to input and maintain data, track labor/materials, and prepare compliance-ready reports
Must be a U.S. Citizen and be able to obtain and maintain up to a Top Secret clearance
Physical ability to walk construction sites, carry up to 25 lbs., climb stairs and ladders, and work in variable weather/conditions
Preferred qualifications:
Advanced experience with CMMS including reporting, Preventative Maintenance scheduling, and KPI dashboards
Proficiency in Government RMS or equivalent reporting systems
