Receive, log, and track all incoming Service Orders (SOs), Work Orders (WOs), and Preventive Maintenance (PM) tasks
Prioritize orders based on mission impact, emergency/urgent classification, and PWS timelines
Dispatch tasks to appropriate technicians, subcontractors, or supervisors
Input and maintain data in CMMS and Government RMS; update work status, labor hours, materials used, and completion notes
Ensure all records meet Government audit and reporting requirements and file/safeguard service reports, asset records, test results, calibration logs, and warranty documents
Serve as central point of contact between Project Manager, Government COR, technicians, and subcontractors regarding work status
Generate daily/weekly status reports and prepare monthly workload summaries and performance metrics
Track labor utilization, overtime, and contract compliance for reporting and validate labor/material hours match CLIN billing requirements
Assist with inventory tracking, requisitioning materials, and monitoring vendor deliveries
Support Quality Control and Safety documentation by logging deficiencies, corrective actions, and closeout verification
Provide data for Contract Deliverables (CDRLs) and assist with Government inspections or audits
Record project meetings, distribute meeting summaries, collect and review closeout documents, and maintain project compliance documentation
Plan, schedule, monitor, and coordinate project personnel and tasks to ensure on-time delivery
Disseminate technical information clearly across communication platforms and independently drive tasks to completion
Perform other duties as assigned
Requirements
High School Diploma or equivalent
At least 4 years of experience in an administrative, facilities, maintenance, or work control role
Familiarity with maintenance / operations terminology, work order processes, and preventive / corrective maintenance scheduling
Proficiency with Microsoft Office Suite (Excel, Word, Outlook, MS Project, PowerPoint)
Experience using a CMMS (e.g., WebTMA, Maximo, Quicx, IWMS, Tririga, Archibus, BUILDER) and Government RMS or GFE-provided platforms
Understanding of work classification (emergency, urgent, routine) and PWS-driven timelines
Excellent scheduling and project database management skills
Must be a U.S. Citizen and able to obtain and maintain up to a Top Secret clearance
Ability to travel ~10% for site visits (Spring Lake, NC)
Physical ability to walk construction sites, carry up to 25 lbs., climb stairs and ladders, work indoors/outdoors in severe weather, confined spaces, and dust-generating environments; able to wear PPE
