About the role
Key responsibilities & impact- Communicate and work with assigned clients and train them on payroll processes and procedures to ensure ongoing compliance
- Collect and enter approved pay information each pay period and review payroll reports for accuracy before submission
- Assist clients with final-check and other payroll-related calculations
- Prepare and submit retirement reporting and payments, including 403(b)/401(k) and potentially STRS/PERS plans
- Assist Staff Accountants with reconciliation of payroll-related liability accounts before month-end close
- Create, update, and distribute payroll calendars and due-date reminders
- Review client paperwork and enter new hires and employee changes into payroll systems
- Research STRS membership type for client new hires
- File payroll documents on the internal server
- Run post-payroll backup reports and ad hoc client reports
- Gather audit backup documentation and prepare payroll audit workpapers
- Create and maintain standard operating procedures for process improvement and efficiency
- Complete other assigned duties or projects
Requirements
What you’ll need- High school diploma required
- Experience with third-party payroll databases, including ADP, Paycor, Paycom, Paychex, and UKG Ready Now
- Knowledge of financial and accounting record-keeping methods and practices
- Intermediate knowledge of payroll and wage-and-hour laws
- Intermediate/Advanced Microsoft Office skills, including Word, Excel, Outlook, XLOOKUPs, pivot tables, and formulas
- Proper and effective English grammar and oral and written communication skills
- Strong attention to detail and ability to manage multi-state payroll processing
- Ability to adapt quickly to change
- Ability to learn payroll processing rules, regulations, and technical procedures for nonprofit organizations and charter schools
- Ability to understand and carry out directions independently
- Ability to perform arithmetic calculations accurately and rapidly
- Ability to identify and correct errors in mathematical computations
- Three years of payroll processing experience preferred for external applicants
- Experience processing quarterly payroll tax returns preferred for external applicants
- Payroll-related coursework and/or certification is a plus
- HR experience is a plus
- Experience in the charter school, nonprofit, or education sector is a plus
